AI voice agent vs voicemail, missed calls, receptionists and answering services.

Every call to your business ends one of five ways. Here's how a fully trained XealAI voice agent compares with the other four, including where a person is still the better choice.

Side by side.

The XealAI voice agent comes with every XealAI Smart Business Site plan, from $197 a month.

The details behind each row.

Voicemail

Callers want to talk to someone. Most won't leave a message, and the ones who do rarely hear back fast enough.

  • 41% of callers never leave a voicemail.
  • Only about 4.8% of voicemails get a reply, roughly 1 in 20.
  • 90% of first voicemails are never returned.

Missed calls

An unanswered call usually goes to the next business on the list.

  • About 62% of calls to small and mid-sized businesses go unanswered.
  • 85% of people whose call is missed won't call back.
  • Home services miss about 27% of calls on a normal day, and roofing and restoration can miss 50 to 70% after a storm.
  • Home-service research cites about $1,200 at risk per missed call (industry average, not a promise).

In-house receptionist or employee

A good receptionist is valuable, especially for in-person work. For phone coverage alone, a person costs far more than an AI agent, and the wage is only part of it.

  • Median receptionist pay was $18.27 an hour, or $38,010 a year, in May 2025.
  • For office and administrative support jobs, benefits make up 31.3% of total compensation. Paid leave is 7.5% and legally required benefits such as Social Security, Medicare, unemployment insurance and workers' comp are 7.0%.
  • At that ratio, a $38,010 salary works out to roughly $55,000 a year in total compensation (our arithmetic from the BLS figures).
  • A 40-hour shift covers 40 of the 168 hours in a week. Round-the-clock coverage would take more than four full-time people.

Then there are costs that don't show up on a pay stub: HR time, vacations, sick days and no-shows, fatigue late in a shift, bad days, disputes between coworkers, and the risk of employment lawsuits and labor department claims.

Answering service

An answering service does pick up. Research cited in our insights brief puts the answer rate with call-answering services around 85%, with about 40% fewer missed calls. That's better than voicemail.

The trade-off is who answers. Agents usually cover many companies at once, staff change often, and there's little time to learn your services, your tone or how you book work. Callers notice when the person on the line doesn't know the business. Many services take a message instead of booking, so you still have to call back.

What "fully trained" means

  • Your services, service area and hours
  • Prices and offers you approve
  • Your booking rules and calendar
  • Common questions, answered your way
  • A do-not-promise list: prices you won't honor, jobs you won't take

Chatbot and voice agent updates aren't automatic. Tell us what changed by call, text or email and we update them within 24 hours.

Where a person is still better

We'd rather be straight about this. An AI agent shouldn't pretend to handle everything.

  • Complex diagnosis
  • Upset customers
  • Judgment calls about money or liability
  • Relationships that need your voice

For those calls, the agent captures the details and hands off to you or your team with notes. Your team can still take the first ring; only unanswered and after-hours calls go to the agent.

Questions about switching.

Is an AI voice agent cheaper than a receptionist?

For phone coverage, usually yes. XealAI plans run $197 to $597 a month and include the website and chatbot. The BLS puts the median receptionist wage at $18.27 an hour ($38,010 a year, May 2025), and benefits add more on top. A receptionist also does in-person work an AI agent can't, so the right answer depends on what the job actually is.

Is it better than an answering service?

For most local businesses that want calls booked, yes. An answering service connects a lot of calls, but agents cover many companies and often take messages instead of booking. A XealAI voice agent is trained only on your business: your services, service area, hours, booking rules and the things you never want promised.

What does fully trained mean?

Before launch we set the agent up with your services, prices you approve, service area, hours, booking rules, common questions and a do-not-promise list. When something changes, tell us by call, text or email and we update your chatbot and voice agent within 24 hours.

When should a person take the call instead?

Complex diagnosis, an upset customer, decisions about money or liability, and relationships that need your voice. The agent captures the details and hands those calls to you or your team instead of guessing.

Can callers still reach my team first?

Yes. You keep your number. Your team gets the first ring, and only unanswered or after-hours calls forward to your XealAI agent.

Stop sending callers to voicemail.

Every XealAI Smart Business Site plan includes the voice agent, the chatbot and a website that updates itself. Plans from $197 a month.
